PA to CEO / Office Manager

We are seeking a PA and Office Manager for a fast-growing firm of consultants whom provide specialist technical, forensic and advisory services to the legal sector. With ambitious growth plans, this is an exciting time to join their business and play a key role in a great team.

We are looking for an experienced PA to support their CEO and ensure the smooth day-to-day running of their office in London. This is a varied and hands-on role, with opportunities to contribute to the development of a modern, professional and high-performing organisation.

Responsibilities 

To provide seamless executive support to the CEO and, on occasions, the wider Board of Directors while overseeing the efficient running of a London head office. 

This is a hybrid role, combining high level PA responsibilities with office management and team coordination. 

We seek a trusted partner to the CEO, ensuring they are fully supported in managing their commitments across multiple time zones and international engagements. 

Executive Support

  • Provide comprehensive support to the Chief Executive Officer, including complex diary management, international travel planning, and correspondence handling
  • Coordinate meetings across multiple time zones, ensuring materials and briefing documents are prepared in advance
  • Draft, proof read, and format high quality reports, proposals, and presentations
  • Manage confidential information with the highest degree of discretion and professionalism
  • Assist with business development administration, including client correspondence and proposal tracking
  • Attend Board meetings and take minutes, collate and distribute reports and minutes.

Office Management

  • Oversee the smooth day-to-day operations of the London office, ensuring a professional and efficient working environment
  • Manage relationships with suppliers, landlords, and service providers
  • Ensure office facilities, IT systems, and equipment are maintained and functioning effectively
  • Oversee health and safety and business compliance requirements
  • Organise internal events and team gatherings.

Administration and Coordination

  • Maintain and update Company documentation, including contracts and non-disclosure agreements (NDAs)
  • Liaise with external professional partners (law firms, barristers’ chambers, and expert associates) as required
  • Assist with project coordination, document management, and client logistics for expert witness engagements; Business travel management. 

Requirements 

  • Proven experience as a PA/EA supporting Director or Partner-level executives
  • Experience managing budgets, suppliers, and office operations. 
  • Excellent written and verbal communication skills, with an exceptional command of English and strong attention to detail
  • Ability to coordinate activities across time zones and manage complex international schedules
  • Discreet, trustworthy, and confident dealing with sensitive and confidential information
  • Highly organised and self-motivated and able to work and deliver under your own initiative
  • Ability to handle high volumes of work in a multi-task mode, prioritise duties and operate in an organised and unflappable manner
  • Good people skills and someone highly trustworthy and able to build trust with existing staff, clients and advisors to the business. 
  • Ability to convey the Company in the most professional manner and to support fully at all times the Company’s values and ambitions
  • Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint) and experience with collaboration platforms (Teams, SharePoint, Zoom).

This is initially a part-time position of up to 30 hours per week, worked across Monday to Friday. The company offers a supportive and forward-thinking environment where you can make a meaningful impact.
